How do I add or change an order for a student after the deadline has passed? (3 minute read)

Important: Make sure you have a clear and consistent process for adding and updating orders for users, so the order lists sent to production are always correct and up to date.

For example, if you’re using an integration between the Kanpla system and your own system, it’s a good idea to agree on when new orders are added, how changes are managed, and when everything is synced and sent to production.

Once the order deadline has passed in the Kanpla app, users won’t be able to make any changes themselves. If an update is needed after this point, it must be handled by you — the kitchen or caterer administrator — through the Kanpla administration portal at admin.kanpla.dk.

Example:
If the deadline is Thursday at 2:00 PM and a user tries to change their order at 2:05 PM, they’ll no longer have access to do so in the app.

Important:
Kanpla Support is unable to make changes or add orders after the deadline. This is because it depends on available ingredients and kitchen resources — a decision only you as the kitchen or caterer admin can make.


Step 1: Log In

Step 2: Open the Overview

On the left-hand side menu, click “Overview.”

Step 3: Add an Order

  • In the top-right corner, click the “Add an order” button.

Step 4: Select the Salesplace & Student

  • Choose the correct salesplace (for example, the school the child attends) and search for the student's name.

💡 Tip: It’s easiest to search by the school name (like St. Anthony) — you’ll then see the available modules for that student.

Step 5: Open the Ordering Module

  • You’ll now access the same ordering module view the user normally sees — but as an admin, you can still make changes after the deadline.

  • Use the week filter at the top to select the correct week, and navigate through the calendar to pick the right day.

Step 6: Edit the Order

Click the order you need to edit.

You can:

  • Add or remove items

  • Adjust quantities

  • Update meal selections

Step 7: Review & Save

Once you’ve made the necessary changes, review everything carefully.

When ready, click “Save.”
