What are Tax Rates?
Tax Rates let you set up VAT once, as a named, reusable rate — like “Standard 25%” or “Cold Food 0%” — and apply it wherever VAT applies, instead of typing a percentage into a separate field on every partner, module, location, and product setting.
Because a rate is reusable, editing it in one place updates it everywhere it's used. Tax Rates are available to every account under Settings.
What this doesn't change
This is a change to how VAT is set up, not to the tax itself. Your existing VAT percentages carry over as they are — nothing changes about the tax charged on your orders or the prices your guests see.
Step-by-step guide to setting up a Tax Rate
Step 1: Go to admin.kanpla.dk
Step 2: In the left menu, go to Settings and select Taxes
Step 3: Select the Tax rates tab (next to Tax rules)
Step 4: Click + Add rate in the top right corner
Step 5: Enter a name for the rate, for example “Standard 25%” or “Cold Food 0%”
Step 6: Enter the percentage for the rate
Step 7 (optional): If your company uses specific codes for tax reporting, enter it in the VAT code field
Step 8: Click Save
Once saved, the rate is available to select from a list wherever VAT applies — on your partner, module, location, and product settings.
Applying a Tax Rate
Wherever you used to type a VAT number, you'll now pick a Tax Rate from a list instead:
Partner settings — your account's default rate
Module settings — for example, a takeaway module that needs a different rate
Location settings — for a specific customer group or location
Product settings — for a specific product
💡 Tip: If you run different rates for different dining options or product types — for example, a lower rate for cold takeaway food — Tax Rates gives you a clearer way to set each of these up once and reuse them.
Editing a Tax Rate
You can now edit a Tax Rate directly from the Tax rates tab under Settings → Taxes, instead of deleting it and creating a new one. Any edit updates the rate everywhere it's used.
⚠️ Important: Because a rate can be reused in several places, editing it changes the rate everywhere it's applied.
Why does my Tax Rate have a name like “20% tax”?
If your account has just been migrated to Tax Rates, your existing VAT percentages are carried over automatically and given a placeholder name based on the percentage (for example, “20% tax”). The rate itself hasn't changed — only its name. You're free to rename it to something clearer, like “Standard rate”, in Settings → Taxes → Tax rates.
Clearer reporting
Because Tax Rates are named, your VAT and sales reports now break sales down by rate name alongside the percentage, instead of just a bare number — making it easier to check figures and reconcile against your own finance or accounting systems.
Good to know
You don't need to do anything for this change to take effect — it applies automatically to your account.
If you'd like to make use of named, reusable rates — for example, different rates for eat-in vs takeaway — head to Settings → Taxes → Tax rates to set them up.
Tax Rates covers naming and reusing simple VAT percentages. If you need more advanced rules — for example, different VAT depending on whether an order is eat-in or takeaway — contact us and we'll help you find out if this is available on your account.
If a Tax Rate looks wrong after migration, or you're not sure how to set one up, contact Kanpla support and we'll help you out.
